Validation and Verification of Signatures in the Forms and Tasks Merged

Currently, a FORM can be created on FieldView by including a SIGNATURE Box requirement. This Signature Box is intended as a validation of the checks required in the Form. Unfortunatly, FielView Form system do not recognize the signature, and do not recognise nor validate the signature owner or who has actually signed. FieldView system should be able to increase the controls of the Forms and Tasks in order to be better than paper based systems and reduce the possible risks or signatory issues.

I propose that when someone signs in the FieldView Tablet system, the software requires a Validation of that signature in order to ensure that the person selected in the dropdown is the one that has signed. Here below some examples of how this can be done:

  •  PIN Validation: When the selected person signs in the tablet, the system requests a PIN Number to make sure that he is the one that has signed, if he gives the tablet to the another person (that he has not log in the the tablet, but only selected in the dropdown), he will sign and put his PIN to validate his signature. This should be working offline, in order to be able to implement on site.
  • Notification to Validate: When the person signs in the tablet, the system will send a notification to his email (when synchronising for example) requesting to validate his signature to confirm he is the one that has signed, only after the form will have the signature included.

I would like to stress the importance of validating and trace signatures on a electronic software to update the Quality Management system to a paperless system. A Audit trail should be included for investigations, and the signatures of each login should be well recorded. Also, a Verification of the signatory for audit purposes should be in place.

This can be included on the Task.

    Agreed - this is really important if we are proposing a paperless system, it would also would help stakeholder buy-in. We also find the lack of audit trails very problematic

    I am also leaning towards the PIN option of both suggested validations

    My preference would be for the PIN option but either would be suitable.
