Where ever there is an automatic report tick - rather than inputing a list or a single email address - chose a role which can then be assigned to someone on the project, organisation etc.
This would mean that when a contact changes (which can happen frequently) rather than tracking down where that email is in the system you just assign the role to the new contact - this will then automatically send the correct emails to that user.
This would save time in administration.
