Is it possible to have a folder which could automatically keep/store daily raised and approved permits/forms. This could again automatically move itself to an archive once a permit/form is closed for future reference.
This will settle arguments and grieves between site operatives and the management team.

Using workflows and sending email notifications on different status change may a way to achieve this - depending on the document management system you use. It can be possible to auto-publish the emails in their original state as they're received (so no further editing is possible).
